Follow the Leader: steps to achieving ERP specification and selection success whilst focusing on your core business processes.

Our methodology flows through project stages, with each comprising of several elements and deliverables.  This approach has been used successfully across a broad range of businesses. Each step provides the right level of detail, discovery and examination, whilst keeping your business requirements at the forefront throughout.

  1. GAP ANALYSIS

Determine, document and confirm the differences between a business’s desired performance and its current capabilities.

  2. SYSTEM SPECIFICATION DOCUMENT

Once we capture all requirements, we put together a document focusing on the unique aspects of your business to send to vendors.

  3. VENDOR LIAISON

We will identify and hold pre-qualification calls with a list of potential vendors. A system specification document is then signed off and sent to the agreed vendors.

  4. SUMMARY REPORT

Before agreeing on a shortlist, a consultant will liaise between yourself and the vendor, addressing any questions or concerns. Feedback will be included in a summary report.

  5. VENDOR DEMONSTRATIONS

Shortlisted vendor meetings are arranged to answer questions highlighted by the response to the specification document. Demonstrations are generally held on your premises and last around three hours.

  6. VENDOR WORKSHOP

At this point, you may have chosen your preferred vendor. However, this is not always the case. You may feel you still need to see how crucial functions will work in the new system before you sign. Have questions about functionality and your business’s essential processes ready for the vendor. Workshops help you make the final decision in selecting a preferred vendor to enter into contract negotiations with.

  7. CONTRACT NEGOTIATION

A final visit is then often made to the vendor offices. This visit accommodates meeting the likely implementation team and carrying out final contract negotiations. One or more reference site visits or conference calls can also be arranged.

This approach will work effectively for all types of selection projects. Of course, each step is adaptable, depending on your business. Furthermore, we understand generic vendor selection plans aren’t always realistic, as every company is unique with varying requirements.
